About the Role

Kepler is looking for a People & Workplace Coordinator to help create an exceptional employee experience while keeping our workplace running smoothly. This is a hands-on role that combines workplace operations, employee experience, and People Operations. You will help welcome new employees, coordinate recruiting and onboarding activities, support employee programs and events and make sure our San Jose workplace is organized, welcoming and

ready for our team every day.

This is an ideal opportunity for someone early in their career who is highly organized, enjoys working with people, takes pride in getting things done and wants to build a career in Human Resources or People Operations. You will have exposure to many aspects of the employee lifecycle and the opportunity to take on greater responsibility as Kepler continues to grow.

Responsibilities:

  • Employee Lifecycle: Oversee end-to-end employee lifecycle processes, including onboarding, offboarding and maintaining accurate personnel records.

  • People Operations: Partner with IT to coordinate new hire logistics and support recruiting teams with interview scheduling and candidate communication.

  • Workplace & Employee Experience: Maintain a welcoming, safe, and productive office environment by managing day-to-day facilities, building management relations, external vendors, and office inventories including kitchen supplies, snacks and beverages; cultivate an engaging company culture through seamless internal communications, employee recognition programs and memorable team events.

  • Process Improvement: Actively identify and document opportunities to streamline People and workplace processes to enhance efficiency as the company scales.

  • Administrative Excellence: Handle sensitive employee and company information with the utmost professionalism, discretion and confidentiality.

Requirements:

  • Experience: 0-2 years in Human Resources, People Operations, Office Administration, or Recruiting Coordination. Academic experience and internships are welcome.

  • Organizational Skills: Exceptional attention to detail with the ability to manage competing priorities in a dynamic, fast-paced environment.

  • Communication: Clear, professional, effective written and verbal communication skills.

  • Proactive Mindset: A self-starter attitude with the ability to identify needs, take ownership of tasks and drive them to completion.

  • Technical Proficiency: Hands-on experience with Google Workspace, Microsoft Office or comparable productivity tools.

  • Discretion: Sound judgment when handling confidential employee and company data.

  • Collaborative Spirit: Comfortable working both independently and cross-functionally with teams like Finance and IT.

Nice to Have:

  • Career Alignment: A demonstrated interest in building a long-term career in Human Resources or People Operations.

  • Tech Experience: Familiarity with HRIS, ATS or other People-specific technology platforms.

  • Operational Expertise: Previous experience in event planning, vendor management or facilities coordination.

  • Foundational Knowledge: Exposure to employment practices, HR compliance or structured onboarding/recruiting workflows.

Compensation and Benefits

Actual compensation will be determined based on factors including, but not limited to, relevant experience, skills, qualifications, education, job responsibilities and work location.
